Refund & Cancellation Policy
Dubai Evac provides time-critical private evacuation coordination in volatile conditions. This policy is designed to reflect war-related uncertainty, regulatory change, airspace disruption, and the real costs incurred to secure routing and aircraft availability.
1) Scope & Definitions
This policy applies to all Dubai Evac services, including coordination of (i) ground transfer (including optional armored transport), (ii) private jet charter routing, (iii) handling/permits/slots arrangements, and (iv) client support and logistics.
- “Booking” means your request has been accepted and we have commenced operational work (e.g., aircraft sourcing, permits, crew coordination, slot requests, routing checks).
- “Departure window” means the agreed target window (date/time range) for travel.
- “Force Majeure / Volatility Event” includes war, armed conflict, civil unrest, terrorism, sanctions, sudden airspace closures, airport closures, border closures, curfews, government directives, NOTAM changes, crew duty restrictions, and other safety/regulatory events outside our control.
2) Operational Reality (War & Regulatory Uncertainty)
Evacuation services are performed in rapidly changing environments. Routes, airports, aircraft availability, crew legality, and permissions may change without notice. Dubai Evac may adjust routing, aircraft type, departure/arrival airport, timing, or destination routing to prioritize safety, legality, and feasibility.
We coordinate services across multiple jurisdictions and destinations, including (non-exhaustive): UK, Netherlands, Ireland, Germany, France, Spain, Sweden, Switzerland, Italy, Greece, India, and other destinations on request. Availability and pricing may vary by destination, operating conditions, and regulatory constraints.
3) Non-Refundable Items (Always)
The following are non-refundable once incurred/committed, even if travel does not occur:
- Third-party supplier costs (operators, handling agents, ground transport providers, security providers, concierge/logistics partners).
- Permits, slot applications, airport handling, parking, repositioning costs, and crew-related costs.
- Compliance, due diligence, and urgent operational work performed to secure feasibility in time-critical conditions.
- Any bank/wire fees, exchange losses, crypto network fees, and payment processor charges.
4) Refund Structure (Client Cancellation)
Because aircraft and routing capacity must be reserved and secured under uncertainty, cancellations trigger real and immediate costs. Refund eligibility is determined by when Dubai Evac receives your written cancellation notice.
4.1 More than 72 hours before the Departure Window
- Refund of the amount received minus any non-refundable items already incurred (Section 3) and an operational coordination fee of 20% (minimum $1,500).
4.2 Between 72 hours and 24 hours before the Departure Window
- Refund of the amount received minus any non-refundable items already incurred (Section 3) and an operational coordination fee of 50%.
4.3 Less than 24 hours before the Departure Window (or No-Show)
- No refund (amount received is forfeited), except where Dubai Evac confirms in writing that recoverable third-party funds were returned to us by suppliers (rare in war/volatile periods).
Note: if you request postponement instead of cancellation, we may (at our discretion) apply recoverable amounts toward a new window, subject to operator terms, pricing changes, and ongoing feasibility.
5) Refund Structure (Dubai Evac / Supplier Cancellation)
If Dubai Evac cancels because we cannot legally or safely perform the service (e.g., due to a Volatility Event), the following applies:
- Dubai Evac will refund only the portion of funds that is actually recoverable from third parties.
- All non-refundable items already incurred (Section 3) remain non-refundable.
- Dubai Evac may offer (at our discretion) a rebooking credit for recoverable amounts toward a future departure window.
In volatile periods, operators and suppliers frequently impose strict “no refund” terms once assets are reserved. Dubai Evac cannot guarantee third-party refundability.
6) Routing / Destination Changes (Not a Refund Trigger)
Changes to any of the following do not automatically qualify for a refund:
- Departure airport, arrival airport, aircraft type, crew/operator, routing path, timing, ground transfer route, or intermediate stops.
- Destination substitution within the same region, where required for feasibility, safety, legality, or operational constraints.
Dubai Evac will seek to meet your preferred destination, but feasibility may require alternatives.
7) Documents, Visas, Entry Refusals & Compliance
Refunds are not provided for issues arising from passenger documentation or compliance failures, including:
- Expired/invalid passports, missing visas, denied boarding due to documentation, or refusal of entry by any authority.
- Security/identity verification failures, sanctions screening hits, or other compliance requirements.
- Medical/fitness-to-fly restrictions, or passenger behavior issues that prevent travel.
8) Payments (USD Wire & BTC)
- USD wire: refunds (if any) are returned to the originating account, net of fees.
- BTC: refunds (if any) are processed in BTC to the sending wallet address. Network fees apply. Fiat-equivalent value may differ due to volatility; Dubai Evac is not responsible for exchange rate movements.
9) Discretion, Abuse & Chargebacks
Dubai Evac reserves the right to deny refunds where we reasonably suspect fraud, payment abuse, identity misrepresentation, or misuse of services. Chargebacks and payment disputes may result in immediate suspension of service and additional recovery actions.
10) How to Request a Cancellation or Refund Review
Send your request from the same email used during booking and include:
- Full passenger name(s)
- Booking reference or quote reference
- Departure window
- Reason for cancellation
Dubai Evac will respond with an itemized view of recoverable vs non-recoverable costs based on supplier terms and work performed.
11) Policy Updates
This policy may be updated at any time to reflect changing operational and legal conditions. The version in effect at the time of your payment applies to your booking.
